Job description
What You Will Be Doing:
HR System Management
- Capture and maintain accurate employee information on the HR system (including new hires, updates, terminations and leave administration)
- Submit timeously correct employee records to payroll for processing
- Ensure employee records are kept up to date and error-free, with full compliance to company standards and labour legislation
- Support auditing processes by ensuring data accuracy and document readiness
Employee Records and Documentation
- Maintain digital and physical employee files to ensure full confidentiality, accessibility and compliance
- Ensure that employment contracts, onboarding packs and related documents are accurate, signed, and securely stored
- Track expiry of fixed-term contracts, probation periods and other time-sensitive HR data, and alert relevant stakeholders accordingly
HR Reporting and Compliance
- Generate and submit HR reports, stats and dashboards for management decision-making
- Assist with monthly, quarterly and annual HR compliance submissions
- Ensure adherence to internal controls, policies and audit requirements
- Identify and escalate any risks or data anomalies early
Operational HR Support
- Support onboarding and offboarding processes by preparing documentation and coordinating with relevant departments
- Respond to internal HR queries from employees and line managers with professionalism and accuracy
- Assist with recruitment admin such as coordinating interviews, screening documentation and capturing candidate data
- Contribute to the smooth running of day-to-day HR activities and initiatives
People and Team Contribution
- Uphold a strong customer service mindset when dealing with internal stakeholders
- Contribute to HR projects and continuous improvement initiatives
- Share best practices and support other team members where needed
- Demonstrate a respectful, inclusive and collaborative attitude in all team interactions
Minimum requirements
What we are looking for:
- Grade 12 or NQF Level 4
- Diploma in Human Resources Management (NQF 6) required
- HR Degree (NQF 7) is an advantage
- Minimum 3 years’ experience in an HR Administration role
- Previous experience in mining or similar high-paced, high-compliance industries is preferred
- Strong knowledge of South African labour legislation
- SAGE X3 system experience is a bonus
- Excellent administrative, planning and coordination skills
- Exceptional attention to detail and accuracy
- Able to work independently and handle sensitive data with discretion
- Strong communication and relationship-building skills
- Driven, dependable and able to thrive under pressure
